Job Overview: We are seeking a highly organised and compassionate Administrative Assistant to join AutismCare. This role is pivotal in ensuring the smooth operation of our clinic and providing an exceptional experience for adult clients & parents of children accessing our services. Please note this role can be fully remote, but if there are candidates currently looking for assistant psychologist roles or similar, and would like the opportunity to attend the clinic and carry out this role while shadowing more experienced clinicians, this can be considered.
Key Responsibilities:Administrative Support:
- Speak to all clients with professionalism and warmth.
- Handle a high volume of phone calls & emails efficiently & compassionately.
- Manage appointment bookings and reschedules.
- Maintain accurate and up-to-date client records.
- Process incoming client information and ensure all documentation is compliant with clinic policies.
- Prepare and distribute client receipts and invoices.
Operational Coordination:
- Assist with scheduling staff shifts and managing calendars.
- Order and manage clinic supplies and inventory.
- Liaise with external vendors and service providers.
Customer Experience:
- Address client queries promptly and empathetically.
- Ensure clients promptly receive guidance on next steps & appointment availability where appropriate
- Ensure constant guidance & roadmapping of our clinical processes & costs are provided to clients
- Coordinate with clinicians to deliver seamless client care.
- Ensure constructive feedback is always provided when answering all incoming calls & queries.
Data Management:
- Maintain strict confidentiality and diligently handle sensitive information with care under strict data management guidelines.
Qualifications and Skills:Required:
- Experience in an administrative role (preferably in a healthcare or clinical setting due to the nature of some incoming enquiries & calls).
- Strong organisational and multitasking abilities.
- Excellent written and verbal communication skills.
- Empathetic, patient, and approachable demeanour.
- Attention to detail and a proactive approach to problem-solving.
- Commitment to creating a positive, neuro-affirmative & inclusive clinic environment.
Beneficial:
- Proficiency in Microsoft Office Suite and scheduling software.
- Experience working with autistic adults or children
- Familiarity with billing processes.
- Knowledge of GDPR and data privacy guidelines.
