We are seeking an experienced and proactive Facilities Manager to oversee the operations, maintenance, and management of a large and diverse complex located in South Dublin, comprising residential apartments, commercial units, and carparks. The successful candidate will be responsible for ensuring the complex is well-maintained, safe, and efficiently run, while providing a high level of assistance to both Residential Managers and Commercial Managers who are already in place.
Key Responsibilities:
Buildings Management:
- Oversee day-to-day operations and maintenance of the entire complex, including residential, commercial, and public spaces.
- Ensure all facilities are compliant with health, safety, and legal regulations.
- Develop and implement preventive maintenance plans to avoid major repairs and downtime.
- Coordinate repairs, installations, and upgrades for all areas of the complex.
- Manage and supervise external contractors for maintenance and janitorial services.
Building Maintenance:
- Ensure the proper functioning of all building systems.
- Conduct regular inspections of residential apartments, commercial units, and carparks to identify and address issues promptly with the relevant team members.
- Monitor the condition of the building's exterior and interior to ensure they meet high standards of cleanliness and appearance.
Tenant and Resident Relations:
- Set up regular meetings with the Property Managers who are the primary point of contact for residents, commercial tenants, and the public in relation to facility issues or concerns.
- Address and organise a plan to resolve any tenant complaints, maintenance requests, and general inquiries.
Health & Safety:
- Ensure compliance with all health and safety regulations and standards across all areas of the complex.
- Conduct regular health and safety inspections and implement improvements as necessary.
- Coordinate emergency procedures and ensure all safety equipment is operational and accessible.
- Manage, document and report on all accidents and incidents.
Public Carpark Management:
- Oversee the efficient operation of carparks, ensuring a professional working relationship with the carpark operators.
- Implement policies to maximize space utilization, and cleaning.
- Address any issues or complaints related to the carpark facilities.
Reporting & Documentation:
- Maintain accurate records of all maintenance activities, inspections, and repairs.
Skills & Qualifications:
- Bachelor's degree in Facilities Management, Property Management, Engineering, or a related field (or equivalent work experience).
- Minimum of 5 years of experience in facilities management, ideally within a mixed-use (residential, commercial, and public) environment.
- Strong knowledge of building systems, maintenance practices, and health and safety regulations.
- Excellent communication and interpersonal skills, with the ability to manage relationships with tenants, contractors, and the general public.
- Proven leadership and organizational skills, with the ability to prioritize and manage multiple tasks.
- Ability to work under pressure and respond quickly to emergencies or urgent situations.
- Experience with budget management and cost control.
- Strong problem-solving skills and attention to detail.
- Knowledge of sustainability initiatives and energy management is a plus.
Working Conditions:
- Full-time position, Monday to Friday, with occasional on-call duties.
- The role requires on-site management of the complex.
